Complaint Procedure
The Philadelphia Child and Family Therapy Training Center, Inc. (PCFTTC) is fully committed following ACE standards for continuing education and the NASW Code of Ethics. PCFTTC will comply with all legal and ethical responsibilities to be nondiscriminatory in promotional activities, continuing education (CE) program content and engagement with participants. The monitoring and assessment of compliance with these standards will be the responsibility of the Social Work Consultant (SWC). The Philadelphia Child and Family Therapy Training Center, Inc. will go to great lengths to assure fair treatment for all participants and attempts to anticipate problems that could arise. Sometimes issues could come to the attention of the organization that requires action from the CE Director (CED), or the organization.
Guidelines for responding to grievances:
When a participant(s), either orally, email, or in written format, reports a grievance regarding the instructors of the CE program an acknowledgement of the grievance will be returned within 24 hours of receiving the complaint. Additionally, the following actions will be taken. If the grievance concerns the instructor’s content presented, instructional level, speaker behavior, miscellaneous occurrences, or the style of presentation, the individual filing the grievance will be asked to put their comments in written format so it can be shared with SWC. The SWC will share the grievance with the CED, and with the designated instructor, assuring the confidentiality of the grieved individual. If the SWC is the instructor grieved the CED will be the contact provided for the written grievance.
As applicable, changes to the instructor’s style delivery, or activity will be examined and implemented to mediate concerns of the grieved individual. The CE Committee will keep a record of the grievances and changes implemented. When applicable, leadership will inform the grieved individual of the changes made within 72 hours of the initial acknowledgement. When the grievance concerns the non-receipt of certificate or the facilities in which the workshop was offered, the SWC and CED will collaborate with the administrative offices to decide a reasonable arbitration, within 72 hours of the initial acknowledgement. The email provided for submitting grievances in the procedure attached was/is the email of the executive administrative assistant Christina Cahill. She has been instructed to forward questions and grievances to SWC. If the grievance is regarding the SWC they are to alert CED. CED will follow organizational protocols.
The SWC will review the arbitration with the grieved individual. If the above still does not resolve the grievance the CED will attempt to arbitrate directly with the individual to define a resolution. If the grieved individual requests for additional mediation the following will be reviewed with leadership for possible implementation. These actions will require documentation, at least via email. This will be kept for record-keeping purposes. The note will include the resolution and be confirmed by either a signature or email acknowledgement by the grieved individual. The acknowledgment will be kept at the administrative office for seven years.

Conflict of Interest
- The Philadelphia Child and Family Therapy Training Center, Inc. is committed to the identification and resolution of potential conflicts of interest in the planning, promotion, delivery, and evaluation of CE programs, as outlined in the ASWB ACE manual or per the NASW Code of Ethics (2021) and the CASW Code of Ethics (2005). All instructors participating in any part of the CE program, from inception to delivery, are required by the Philadelphia Child and Family Therapy Training Center, Inc. to identify, disclose a possible conflict of interest, and recuse themselves. This includes not only the CE program, but also the promotion, advertisement, financial support, and delivery.
- Specifically, a conflict of interest may arise when objectivity cannot be maintained by the instructor during any part of CE programming from conceptualization to program delivery. In the event of a potential conflict of interest, the SWC will ensure that the individual(s) declares, resolves, or recuses any potential conflict of interest the Philadelphia Child and Family Therapy Training Center, Inc. may have. If the conflict of interest cannot be resolved the instructor will be removed from the CE program. If the potential conflict of interest identified requires further action, the CSW will assume responsibility for the resolution to occur and CED will support. Documentation of the resolution will be kept by the CED.
- The Philadelphia Child and Family Therapy Training Center, Inc. requires all CE programs clearly describe promotional activities, any financial support, or relationships, that could be a conflict of interest be disclosed. This information will be disclosed for each separate CE program and algin with promotion and advertising requirements by ASWB ACE. The Philadelphia Child and Family Therapy Training Center, Inc. will clearly indicate how potential participants can obtain information about the potential conflict of interest. These includes financial support, in-kind support provided by another party, potential conflicts of interest an instructor, and commercial support.
- If a conflict of interest develops just prior to the delivery of the SWC will work with instructor(s) to make sure it is clearly communicated at the start of the CE program. Additionally, contact will be provided for individuals to obtain additional information regarding the conflict of interest.

Registration Policy
Registration is on a first come, first served basis. The best way to make sure you get into the desired program is to sign up early! Registration must be done online. Programs that require payment will be due at the time of registration. Purchase orders will not be recognized as valid registrations.
Program Fee Policy
Online payment is available for all PCFTTC programs. To make an online payment you will have to make an account to use the online store. Once an account is made click on the program listed and add to your cart for checkout (use check out to finalize the purchase). Also, fill in the registration form as completely as possible before moving on to the next step. The next step requires your billing address and the kind of payment being made. Once your registration is completed and you have paid the fee, participants will receive a registration/payment confirmation via email. We recommend that you save these emails.
If seeking to purchase a large number of registrations (10 or more) PCFTTC will accept purchase order. Payment by check or money order must be received at least 7 days prior to the event or the registration spots will be returned to the store. To pay by check or money order please contact administration@pcfttc.com directly for the payment code to be entered during the registration process.

When you are using checks or money orders as payment, please make them out to Philadelphia Child & Family Therapy Training Center OR PCFTTC. Payments by check or money order must be received 7 days prior to the delivery date of the purchased programming.
Please Note: If a payment bounces, there will be a $35 fee, and the registrant must pay that amount, in addition to the registration fee for the class. The registrant will not be permitted to return to any PCFTTC programs until all fees are paid in full. Payments must be received 1 week prior to the program delivery to be eligible for attendance.

Refunds Policy
Registrants can obtain a refund for trainings up to 14 days prior to the training by contacting Christina Cahill at adminstration@pcfttc.com . Your money will be issued back to you in the form of a check from the administrative office once your request is verified. Cancellation Policy
If you cancel within 14 days prior to the program the registration fee will be applied to another continuing education program of your choice.
Weather-related Cancellations Policy
Weather related delays and cancellations will be emailed to participants & posted on the PCFTTC Facebook page. The decision will be made at 6:00 am on the specific program date.

PCFTTC training that occurs in person are ADA accessible. If you are in need of specific accommodations for your program, please make sure to note that on your registration form under the “accommodations” section. With proper notice reasonable accommodations can be made to assure accessibility programming.

Security and Privacy
The Philadelphia Child and Family Therapy Training Center is a paperless organization and therefore all materials, and proprietary information will be kept encrypted on a password protect drive that is accessed through a password protected computer. All platforms used for presentations, evaluations, and video storage are HIPAA compliant and are password protected. Collected participants’ evaluation data will be de-identified prior to analysis. The analyzed results for each individual program are shared with the CED, SWC, instructor and their immediate supervisor for processing/feedback. A summary of needed changes to programming, based on the feedback and analysis review, will be kept by the CED.
Protection of Confidential Information/Security for Clients and their Families
PCFTTC will make every effort to ensure confidentiality for clients/families who have consented to have their sessions recorded for the purpose of professional training (live/asynchronous), supervision, professional development, and continuing education programming in accordance with AAMFT, NBCC, NASW, and the APA. These efforts also include recordings being double locked when stored, and only available on HIPAA compliant platforms (storage and training platforms) that track permission to access.
Protection of Confidential Information/Security of Participant Information
The Philadelphia Child and Family Therapy Training Center understands and acknowledges that the confidential information of participants has been obtained to access training, consultation, supervision, and educational programming. Personal and financial information is confidential and should not be disclosed or discussed with anyone without permission or authorization from the Leadership, SWC, and CED. Care shall also be taken to ensure that unauthorized individuals do not overhear any discussion of confidential information and that documents containing confidential information are not left out or inadvertently shared.
Video Recording Programs and Withdrawing Consent
The Philadelphia Child and Family Therapy Training Center will make every effort to inform the participant/consumer when a training is being recorded with the future intent of commercial use, in the following manner. First, when registering for a program the product information will identify if the training is being recorded and intends to be used for future commercial use. Second, when entering the program or zoom platform the individual will be verbally reminded the training is being recorded.
If a participant would like to retract their consent for recording the PowerPoint will have the email address for the CED (training@pcfttc.com). Please email the request in writing from your email address and specify which training you would like your presence removed from. Additionally, when programs are used for commercial use, every effort will be made to protect the privacy of the participant. No names or faces will be used for individuals who are not members of PCFTTC in the recording, when utilized for commercial use.
Asynchronous Distance Learning: Passing and Retesting Post-Tests
Participants will be given three attempts to successfully pass each post-test in the asynchronous courses. A score of at least 75% is required to pass the post-test. If the participant is unable to past the post-test, they are given instruction to contact the course proctor, training@pcfttc.com. The proctor will give the participant the option of “certificate of attendance” (noncredit baring certificate).
If the participant was unable to successfully pass the post-test because of a technical issue, the proctor will investigate the technology challenge within the learning portal. If verified, if participant will be given access to the specific video and coinciding post-test again under the original guidelines. If the technical issue is not verified, they will be given the option of a “certificate of attendance” (noncredit baring certificate).

Enhanced Learning Opportunities
The current continuing education program (CE Program) may contain video or audio recordings of Ecosystemic Structural Family Therapy (ESFT) training, supervision or therapy sessions being conducted. Philadelphia Child and Family Therapy Training Center (PCFTTC) informed all participant(s)/consumer(s) of the commercial use of these recordings prior to including them in the current educational program. PCFTTC has received permission to utilize these recordings for educational purposes. Individuals viewing this CE program are strictly prohibited from screen recording, “screen grabbing”, “ripping” or otherwise recording or copying, in any manner, any audio, video or other content. Any unauthorized copying, recording, alteration, distribution, transmission, performance, display or other use of this material is prohibited. The unauthorized copying and distributing of copyrighted materials, including, but not limited to the audio and video content of this CE program, is a violation of united states copyright law and may result in civil and criminal liability and prosecution.
